Creating & Managing Users

Add new users to your FieldPromax account, edit user profiles, assign security levels, manage team lead assignments, and deactivate users who no longer need access.

Before you start:

  • You must be logged in as an administrator.
  • Have the new user's name, email address, and phone number ready.

How to Access

Navigate to Manage Users from the main menu.

Viewing Your Users

The Manage Users page displays a grid of all users in your account. Each row shows the user's Name (with a color indicator), Security Level, Phone, Work Group, Email, Status, and Hourly Rate.

Use the Search field in the toolbar to filter users by name, email, or other details. You can also group, sort, and reorder columns by dragging column headers.

Creating a New User

  1. Click Create User in the toolbar.
  2. Enter the user's First Name and Last Name.
  3. Enter their Email address. This is used for login and notifications.
  4. Enter their Mobile Phone number (required for text message notifications).
  5. Select a Security Level:
    • Administrator — full access to all features and settings.
    • Service Provider — field access for work orders, dispatch, and timecards.
    • External User — limited customer portal access.
  6. Optionally assign a Work Group, Hourly Rate, and Color (used on the calendar).
  7. Click Save.

Result: The new user appears in the grid. They receive a welcome email with instructions to set their password and sign in.

Tip: Assign each service provider a distinct color. This makes it easy to identify who is assigned to which job on the dispatch calendar.

Editing a User

  1. Click the user's Name in the grid (shown as a blue link).
  2. Update their details as needed (name, phone, email, security level, work group, hourly rate).
  3. Click Save.

Team Lead Assignment

Team leads are service providers who can approve schedules and manage other service providers assigned to them.

  1. Click Team Lead in the toolbar.
  2. Assign service providers to their respective team leads.
  3. Save the assignments.

Result: Team leads can approve schedules for their assigned service providers when schedule approval is enabled in Work Order Settings.

Deleting a User

  1. Click the Delete button (trash icon) on the user's row.
  2. Confirm the deletion in the dialog.

You cannot delete the primary administrator account or your own account. Deleted users lose access immediately.

Exporting Users

  1. Click the Export to Excel button in the toolbar (download icon).

Result: An Excel file downloads containing all user data from the grid.
