PDF & Branding

Customize your company logo, document colors, PDF layout options, titles, footer text, and terms and conditions for work orders and estimates.

Before you start:

  • You must be logged in as an administrator.
  • Have your company logo ready (JPEG, PNG, or GIF, max 2 MB).

How to Access

There are two related configuration pages:

  • SettingsCompanyBranding — for logo upload and document colors.
  • SettingsCompanyPDF Config — for PDF-specific settings like titles, sections, and terms.

Uploading Your Company Logo

Your logo appears on PDFs, invoices, estimates, and other customer-facing documents.

  1. Navigate to the Branding configuration page.
  2. Click the logo upload area (shows "Upload" if no logo is set).
  3. Select your logo file from your computer (JPEG, PNG, or GIF, max 2 MB).
  4. Click Save Changes.

Result: Your logo appears in the preview area. To remove the logo, click the red X button that appears on the uploaded image.

Document Style (Colors)

Customize the colors used in PDFs, lead forms, service request pages, and other documents to match your brand.

  1. On the Branding page, click the Background color picker to choose the header background color for your documents.
  2. Click the Font Color picker to set the text color used in document headers.
  3. Click Refresh Preview to generate a live PDF preview with your chosen colors.
  4. Click Save Changes when satisfied.

PDF Logo Size and Language

  1. Navigate to the PDF Config page.
  2. Under PDF Logo Size, choose Small Logo Size (50x50) or Large Logo Size (150x150).
  3. Under PDF Language, select English or French for the PDF field labels.

Tip: Use the large logo size if your logo contains text that needs to be readable. Use the small size if your logo is a simple icon or mark.

Work Order PDF Titles

  1. Enter a Title (PDF As Invoice) — this heading appears when you generate a PDF in invoice format.
  2. Enter a Title (PDF As Work Order) — this heading appears when you generate a PDF in work order format.

Section Options

Control which sections appear on your work order PDFs:

  • Show comments section — includes work order comments in the PDF.
  • Exclude schedules section — hides the schedule details from the PDF.
  • Exclude unapproved schedules — only shows approved schedules in the PDF.
  • Include Equipment Details — adds equipment information to the PDF.
  • Include Images in PDF — embeds uploaded photos in the PDF.

Footer and Terms & Conditions

  1. Enter Footer text that appears at the bottom of every work order PDF (for example, "Minimum service charge $135.00").
  2. Toggle Include Terms & Conditions for work orders and enter your terms using the rich text editor. You can format text with bold, italic, lists, and alignment options.
  3. Toggle Include Terms & Conditions for estimates and enter separate terms for estimate documents.
