Change Requests

Understand how customers can request changes to estimates through the approval process, and learn how to review, address, and resend updated estimates.

How to Access

Navigate to Estimates → click on an estimate, then select the Change Requests tab on the estimate detail page.

How Customers Submit Change Requests

When a customer receives an estimate approval link (via email or SMS), they can choose to Request Changes instead of approving the estimate. The customer describes the changes they want in a text area on the estimate viewer page and submits the request. This gives them a way to communicate specific modifications without needing to call or email separately.

Viewing Change Requests

As an administrator, you can see all change requests on the estimate detail page.

  1. Open the estimate from the Estimates list.
  2. Click the Change Requests tab.
  3. Review the table that shows each change request with the following columns:
  • Change Request — the full text of what the customer wants changed
  • Status — the current status of the change request
  • Submitted On — the date the customer submitted the request

If no change requests have been submitted, the tab displays a "No Change Requests" message.

Updating the Estimate and Resending

After reviewing a change request, follow these steps to address it:

  1. Switch to the Products tab to modify line items, quantities, rates, or descriptions as requested by the customer.
  2. Update the Details tab if the customer's change request involves addresses, descriptions, or other details.
  3. Click ActionsSave Changes to save your updates.
  4. Click ActionsSend for Approval to send the revised estimate to the customer for another review.

Result: The customer receives a new approval link with the updated estimate. They can approve the revised version or submit additional change requests if further modifications are needed.

Managing Multiple Change Requests

A customer can submit multiple change requests before approving an estimate. Each request is recorded with its own timestamp, so you have a complete history of the customer's feedback. The total count of change requests is shown in the tab header for quick reference. This audit trail helps your team track the negotiation process and understand how the final estimate evolved.

Tip: Address change requests promptly. The faster you revise and resend the estimate, the more likely you are to close the deal while the customer is still engaged.
