The Payment History page gives you a centralized view of every payment recorded in FieldPromax. Search, sort, and filter payments by date, customer, or payment mode, and click through to the associated work order for full context.
Before you start:
- Record payments via manual entry or Stripe so there is data to view.
How to Access
Navigate to Payments from the main menu.
Understanding the Payments Grid
The Payments page displays a sortable, paginated grid with the following columns:
- Order # — the work order number (barcode name). Click to navigate directly to the work order detail page.
- Display Name — the customer's name associated with the payment.
- Received Date — the date the payment was received.
- Amount — the payment amount in your company's currency.
- Payment Mode — how the payment was made (Cash, Check, Credit Card, Stripe, etc.).
- Memo — any notes attached to the payment (for example, a check number or transaction reference).
Searching Payments
- Use the Search payments... field in the top-right corner of the page.
- Type a customer name, work order number, or payment memo.
- The grid filters in real time to show matching records.
- Click the X icon to clear the search and show all payments again.
Sorting and Paging
Click any column header to sort the grid by that column. Click again to reverse the sort order. The grid is paginated, so use the page controls at the bottom to navigate through large payment datasets.
Viewing a Payment's Work Order
- Find the payment in the grid.
- Click the Order # link or the eye icon in the actions column.
- You are taken to the work order detail page where you can see the full invoice, all line items, and the complete payment history for that order.
Customizing the Grid
The Payments grid supports several customization options:
- Column reordering — drag column headers to rearrange the column order.
- Column resizing — drag the edge of a column header to make it wider or narrower.
- Column menu — right-click a column header to access sorting and visibility options.
Your grid layout preferences are saved automatically and persist between sessions.
Exporting Payment Data
For accounting reconciliation or reporting, you can export payment data. The grid supports exporting to Excel or CSV format, allowing you to share payment records with your accountant or import them into other systems.
Refund Processing
If you need to issue a refund for a Stripe payment, you can process the refund directly from the Stripe Dashboard. For manual payments (cash, check), delete the payment record from the work order's Payments tab and record any refund actions in the memo field of a new payment entry for audit purposes.
Tip: Use the Payment History page at the end of each week or month to reconcile payments against your accounting software. Sorting by received date makes it easy to match records.
