View the complete service history for any piece of equipment, including every work order it was attached to, custom field data changes over time, and maintenance notes.
Before you start:
- Equipment must have been attached to at least one work order to have a service history.
How to Access
Navigate to Equipment from the main menu. Right-click any equipment row and select History from the context menu, or click the History icon on the equipment row.
View Equipment Service History
- On the Equipment page, locate the equipment you want to review.
- Right-click the row and select History, or click the history icon.
- The history modal opens, showing a chronological list of all work orders where this equipment was serviced.
Each history entry displays:
- Work Order Number — click to open the full work order detail.
- Date — when the work order was created or completed.
- Customer — the customer associated with the work order.
- Service Provider — who performed the work.
- Status — the current status of the work order (Open, In Progress, Completed, Closed).
- Description — a summary of the work performed.
Custom Field Data Tracking
When custom fields are configured for equipment (for example, "Refrigerant Level", "Filter Condition", or "Meter Reading"), service providers update these values each time they work on the equipment. The history view lets you see how these values have changed over time:
- Open the equipment detail page by double-clicking the equipment row or selecting Edit.
- Scroll to the Custom Fields section.
- Current values are displayed. Compare with previous work order entries in the history to track changes.
This is particularly useful for HVAC, plumbing, and mechanical service companies that need to track readings and measurements across multiple service visits.
Equipment Notes
Notes added to the equipment record provide additional context about its condition or special instructions:
- Open the equipment detail page.
- Locate the Notes section.
- Add or edit notes as needed.
- Click Save to update the record.
Notes are visible to all team members who access the equipment record, including service providers on the mobile app.
Tip: Download the equipment record as a PDF by clicking the Download PDF option in the context menu. This generates a formatted document with all equipment details and its service history, which you can share with customers or attach to warranty claims.
Barcode Detail View
If an equipment record is linked to a work order via barcode, you can click the barcode link in the equipment list to jump directly to that work order's detail page. This provides quick navigation between the equipment inventory and the jobs it is associated with.
