The Leads list is your central hub for tracking potential customers. You can view all leads by status, edit their details, add notes, review activity history, convert qualified leads into customers, and delete leads that are no longer relevant.
Before you start:
- Leads are created when someone submits a lead capture form, or you can add leads manually.
- Configure your lead pipeline stages in Lead Statuses & Pipeline for effective tracking.
How to Access
Navigate to Leads from the main navigation menu.
Leads List with Status Tabs
The Leads page organizes leads into two main tabs:
- Open — leads that are actively being worked on. These are potential customers who have expressed interest but have not yet been converted or closed.
- Closed — leads that have been resolved, either converted to a customer or marked as lost.
Each tab displays a list of leads with key information including the lead name, contact details, source, current pipeline status, and creation date.
Edit Lead Details
- Click on a lead name in the list to open the lead detail view.
- Update any field: contact information, address, service interest, or assigned pipeline status.
- Click Save to apply your changes.
Result: The lead record is updated with the new information.
Add Notes to a Lead
- Open the lead detail view.
- Navigate to the notes section.
- Enter your note text (for example, "Called customer, left voicemail" or "Scheduled site visit for Thursday").
- Click Save to attach the note to the lead.
Result: The note is added to the lead's history, creating a timeline of all interactions with this potential customer.
Lead History and Activity
Each lead maintains a full activity history showing when the lead was created, all notes added, status changes, and any other updates. This history helps your team understand the full context of each lead without having to ask colleagues what happened previously.
Convert a Lead to a Customer
When a lead is qualified and ready to become an active customer, you can convert them directly from the lead detail view.
- Open the lead detail view.
- Click the Convert to Customer button.
- Review and confirm the customer information that will be created.
- Click Confirm to complete the conversion.
Result: A new customer record is created in FieldPromax with the lead's contact information. The lead is moved to Closed status. You can now create work orders, estimates, and invoices for this customer.
Delete a Lead
- Open the lead detail view.
- Click the Delete button.
- Confirm the deletion when prompted.
Result: The lead is permanently removed from your system.
Important: Deleting a lead is permanent. If you are unsure, consider moving the lead to Closed status instead of deleting it.
Tip: Add a note after every lead interaction, even brief ones like a missed call or a quick email. These notes build a complete history that helps anyone on your team pick up the conversation and follow up effectively.
