Recurring Work Orders

Set up recurring work orders to automatically generate repeat service jobs on a daily, weekly, monthly, or yearly schedule for regular maintenance contracts and repeat customers.

How to Access

Navigate to Work OrdersRecurrence in the left sidebar to view the recurring work order list. You can also create a new recurrence from the sidebar quick-action menu.

Creating a Recurring Work Order

  1. Click Create Recurrence Order to open the creation form.
  2. Select a Customer from the search field. Click Create Customer if the customer does not exist yet.
  3. The Order # auto-generates with a recurrence prefix (e.g., FP(r)-10003). This number identifies the recurring series.
  4. Enter the First Name, Last Name, and Company Name for the contact person at the job site.
  5. Set the Service Address with the street, city, state, and postal code where the recurring work is performed.
  6. Enter a Work Description describing the recurring service.
  7. Configure the additional fields such as Job Type, Priority, and Class as needed.
  8. Click Create Recurrence to save the recurring work order series.

Result: The recurring work order is created and appears in the recurrence list. The system generates individual work orders according to the configured schedule.

Recurrence Frequency Options

When editing a recurrence, you can configure the repeat pattern with the following frequency options:

  • Daily — generates a work order every specified number of days (e.g., every 1 day, every 3 days)
  • Weekly — generates work orders on selected days of the week (Monday through Sunday). Choose one or multiple days per week.
  • Monthly — generates a work order on a specific day of the month (e.g., the 15th) or a relative pattern (e.g., the first Monday of each month)
  • Yearly — generates a work order on a specific date each year or a relative pattern (e.g., the second Tuesday of March)

Managing a Recurring Series

Open the recurrence detail page from the Recurrence list by clicking on a recurrence entry. The detail page shows:

  • Header — a purple Recurrence badge, the customer display name, and the recurrence number. You can edit the recurrence number by clicking the edit icon.
  • Schedule Details — the configured frequency, assigned service provider, and scheduling times
  • Calendar Tab — a visual calendar showing all generated work order occurrences
  • Generated Work Orders — a list of individual work orders that have been created from this recurrence

Editing a Single Occurrence vs. the Entire Series

When you need to make changes to a recurring work order:

  • Single Occurrence — open the individual work order from the work order list and edit it directly. Changes apply only to that specific instance and do not affect other occurrences or the master recurrence.
  • Entire Series — open the recurrence from the Recurrence list and edit the master record. Changes to the schedule, description, or service provider apply to all future generated work orders.

Viewing the Recurrence List

The recurrence list page displays all active recurring work order series. Each entry shows the recurrence number, customer name, frequency pattern, and the assigned service provider. Click any entry to open its detail page for management and editing.

Tip: Use recurring work orders for maintenance contracts, regular cleaning services, seasonal inspections, or any job that repeats on a predictable schedule. This saves time and ensures no service visits are missed.
