Export approved timecard data for payroll processing using built-in export formats, QuickBooks integration, or Paylocity connectivity.
Before you start:
- Ensure all timecards for the payroll period are reviewed and approved.
- If using QuickBooks integration, confirm your QuickBooks connection is active.
How to Access
Navigate to Time Cards from the main menu. The export options are available from the toolbar on the timecard view page.
Export Timecard Data
- On the Time Cards page, set the Date Range to match your payroll period (for example, the last two weeks).
- Optionally filter by Service Provider or Work Group to export a subset of entries.
- Click the Export button in the toolbar.
- Select your desired format: Excel, CSV, or PDF.
- The file downloads to your computer with all timecard details for the selected period.
Result: You receive a file containing each entry's date, service provider name, clock-in time, clock-out time, total hours, job code, associated work order, and approval status.
QuickBooks Export
If your company uses QuickBooks Online or QuickBooks Desktop, you can push timecard data directly:
- On the Time Cards page, click Export to QuickBooks.
- The export modal opens and shows all timecard entries that are ready for posting. Each row displays the service provider, dates, and total hours.
- Review the list of activities. The modal shows the count of entries ready for post and any that have already been exported.
- Click Export to send the data to QuickBooks.
- The modal updates with a success or failure status for each entry.
Result: Timecard hours appear in QuickBooks as time activities, mapped to the correct employees and job codes. Entries that were successfully exported are marked so they are not sent again.
Tip: Run a trial export with a small date range first to verify that your employee names and job codes map correctly between FieldPromax and QuickBooks.
Paylocity Integration
For companies using Paylocity for payroll, FieldPromax can format the timecard export to match Paylocity's import requirements:
- Export your timecard data as a CSV file using the standard export process.
- The CSV includes columns formatted for Paylocity's import template: Employee ID, Date, Hours, Earnings Code, and Department.
- Upload the CSV to Paylocity through their standard import process.
Timecard Reports for Payroll Periods
In addition to direct exports, you can generate detailed timecard reports:
- Navigate to Reports from the main menu.
- Select a timecard report from the available report types.
- Set the Date Range to match your payroll period.
- Filter by service provider, work group, or job code as needed.
- Click Generate to view the report.
- Export the report to PDF or Excel for your records.
Result: You have a comprehensive summary of hours by employee, job code, and work order that can be attached to payroll submissions.
