Team Management

Organize your service providers into work groups for easier dispatching, scheduling, and reporting. Work groups let you create logical teams (such as by trade, region, or skill level), assign users to one or more groups, filter the dispatch calendar by group, and generate reports based on team performance.

Before you start:

  • You must be logged in as an Administrator to create and manage work groups.
  • Have at least two service providers created in your account so you can group them meaningfully.

How Work Groups Work

A work group is a named collection of service providers. You might create work groups based on:

  • Trade or specialty — "HVAC Team," "Plumbing Team," "Electrical Team"
  • Geographic region — "North Zone," "South Zone," "Downtown Crew"
  • Skill level — "Senior Technicians," "Apprentices"
  • Shift or schedule — "Morning Shift," "Evening Shift," "Weekend Team"

A service provider can belong to multiple work groups simultaneously. For example, a senior HVAC technician could be in both the "HVAC Team" and "Senior Technicians" groups.

Creating a Work Group

  1. Navigate to Manage ListsWork Groups (or access work groups from the main menu).
  2. Click Create Work Group.
  3. Enter the Work Group name (for example, "HVAC Team").
  4. Click Create Work Group to save.

Result: The new work group appears in your work groups list and is available for assigning users.

Editing a Work Group

  1. Navigate to Manage ListsWork Groups.
  2. Click the edit icon next to the work group you want to modify.
  3. Update the Work Group name.
  4. Click Update Work Group to save changes.

Assigning Users to Work Groups

You assign service providers to work groups from the user management area or when creating/editing a user:

  1. Navigate to User ManagementUsers.
  2. Open the service provider's profile.
  3. Locate the Work Groups field (a multi-select dropdown).
  4. Select one or more work groups to assign the service provider to.
  5. Click Save.

Result: The service provider is now a member of the selected work groups. They will appear when you filter by those groups on the dispatch calendar.

Dispatching by Work Group

Work groups make dispatching faster by allowing you to filter the calendar view:

  1. Navigate to DispatchCalendar View.
  2. Use the Work Group filter at the top of the calendar.
  3. Select a work group to display only the service providers in that group.
  4. The calendar updates to show availability and scheduled work orders for only the filtered service providers.
  5. Drag and drop work orders to schedule them, or click to assign a work order to a visible service provider.

Result: You see a focused view of only the relevant team members, making it easier to schedule jobs efficiently without scrolling through your entire roster.

Tip: If you use Smart Dispatch, work groups can help narrow down candidate service providers. Filter by work group first, then let Smart Dispatch recommend the best available provider within that group based on location, skills, and availability.

Using Work Groups for Reporting

Work groups are available as filters in many FieldPromax reports:

  • Filter work order reports by work group to see how many jobs each team completed.
  • Filter timecard reports by work group to compare labor hours across teams.
  • Filter job costing reports by work group to evaluate team-level profitability.
