The Calendar View is your central scheduling hub in FieldPromax. Use it to visualize all scheduled work orders and estimates on a rich, interactive calendar that supports multiple views, drag-and-drop rescheduling, and filtering by service provider or work group.
Before you start:
- Create at least one work order with a schedule.
- Set up service providers so they appear on the calendar.
- Optionally, configure Calendar Settings to set business hours and time-slot durations.
How to Access
Navigate to Dispatch → Calendar from the main menu.
Calendar Views
The scheduler provides six views you can switch between using the built-in navigation toolbar at the top of the calendar:
- Day View — shows a single day broken into time slots. Best for detailed daily planning.
- Week View — displays the full seven-day week.
- Work Week View — shows Monday through Friday only, filtering out weekends.
- Month View — a high-level overview of the entire month. Events show a compact card with customer name, job type color, and work order number.
- Agenda View — a flat, scrollable list of upcoming events sorted by date.
- Timeline View — a horizontal timeline with service providers as rows, ideal for seeing who is busy at a glance.
Group-By Modes
Above the calendar, three tabs let you change how events are grouped:
- Team — groups events by work group so you see each team's workload side by side.
- Individual — groups events by individual service provider.
- Job Status — groups events by schedule status. A color-coded legend appears showing each status and its associated color.
Filtering by Users
A right-side panel offers two tabs:
- Users — check or uncheck individual service providers or entire work groups to show or hide their events on the calendar.
- Unassigned — lists work orders that have no schedule yet. You can drag an unassigned work order from this panel directly onto a calendar time slot to schedule it instantly.
Drag-and-Drop Scheduling
- Open the Unassigned tab in the right panel.
- Click and hold a work order card.
- Drag it onto the desired time slot on the calendar.
- Release to create the schedule. The system assigns the work order to that time, date, and service provider column.
Result: A new schedule is created and the event appears on the calendar immediately.
Rescheduling Events
- Click and drag an existing event to a new time slot or a different service provider column.
- Release to confirm the move.
You can also resize an event by dragging its bottom edge to change the end time.
Event Details
Each event on the calendar displays:
- A job type color bar on the left edge for quick visual identification.
- The work order number (barcode name).
- The customer display name and service address.
- A green checkmark icon if the work has been marked complete.
Hover over an event to see a tooltip with additional details. Click an event to open the work order.
Business Hours Toggle
Click the Show Business Hours / Show Full Day button in the header to toggle between displaying only your configured business hours or the full 24-hour day.
Days Off Overlay
At the bottom of the calendar, check the Show Days Off checkbox to display days-off and vacation events. These appear with a red dot indicator so you can quickly see which service providers are unavailable.
Full-Screen Mode
Click the Full Screen button in the header to expand the calendar to fill your entire browser window. Click Exit to return to the normal layout with the side panel visible.
Tip: Estimates also appear on the calendar as black event blocks labeled "ESTIMATE." This lets you see scheduled estimates alongside work orders for complete daily visibility.
