Stay informed about every important event in your FieldPromax account. As an administrator, you receive notifications for new service requests, work order status changes, estimate approvals, payments received, timecard submissions, and more. Configure which notifications you want to receive and how you want to receive them.
Before you start:
- You must be logged in with an Administrator role.
- Ensure your text message settings are configured if you want SMS notifications.
- Verify your email address is correct under your user profile.
What Administrators Get Notified About
FieldPromax sends administrator notifications for the following events:
- New Service Requests — When a customer submits a service request through the customer portal or a service request form, you receive an immediate notification so you can review and convert it to a work order.
- Work Order Status Changes — When a service provider marks a work order as in progress, completed, or any other status change, you are notified in real time.
- Estimate Approvals — When a customer approves or declines an estimate, you receive a notification so you can take the next steps (convert to work order or follow up).
- Payment Received — When a customer makes a payment through Stripe or the customer portal, you are notified with the payment amount and work order reference.
- Timecard Submissions — When service providers submit their timecards for approval, you receive a notification to review and approve them.
- Schedule Changes — When a dispatched work order is rescheduled or reassigned, affected administrators receive email notifications with the updated details.
Notification Delivery Channels
FieldPromax supports three notification delivery channels for administrators:
- Email Notifications — Detailed notifications sent to your registered email address. Email notifications include full context such as the work order number, customer name, service address, and scheduled date and time.
- SMS Notifications — Short text message alerts sent to your mobile phone number. SMS notifications are concise and ideal for time-sensitive events like new service requests. You must have text message settings enabled under Settings → Text Message Settings.
- In-App Notifications — Real-time alerts displayed within the FieldPromax web application. These appear as toast-style notifications (success, error, warning, or info) in the top-right corner of your screen and auto-dismiss after a few seconds.
How to Configure Admin Notifications
- Navigate to Settings → Company Settings.
- Locate the notification preferences section.
- Toggle each notification type on or off based on your preferences.
- For each enabled notification, select your preferred delivery channel: Email, SMS, or both.
- Click Save to apply your changes.
Result: Your notification preferences are saved. You will only receive alerts for the events and channels you have selected.
Tip: If you manage a large team, consider enabling SMS for critical events (like new service requests) and using email for less urgent items (like timecard submissions). This keeps you responsive without being overwhelmed.
Managing Notification Volume
If you find yourself receiving too many notifications, review these strategies:
- Disable notifications for events that another administrator already monitors.
- Use in-app notifications for low-priority events instead of email or SMS.
- Set up role-based permissions so that specific administrators only receive notifications relevant to their area of responsibility.
