Lead Statuses & Pipeline

Lead statuses define the stages in your sales pipeline. By configuring custom pipeline stages, you can track each lead's progression from initial contact through qualification to close, giving your team a clear view of where every opportunity stands.

Before you start:

  • You need administrator access to configure lead statuses.
  • Plan your pipeline stages before creating them. Common stages include New, Contacted, Qualified, Proposal Sent, Won, and Lost.

Default Pipeline Stages

FieldPromax provides a set of default lead statuses to get you started. You can use these as-is or customize them to match your business workflow. Typical default stages include:

  • New — the lead was just created and has not been contacted yet.
  • Contacted — your team has reached out to the lead.
  • Qualified — the lead has been evaluated and confirmed as a genuine opportunity.
  • Proposal Sent — an estimate or proposal has been sent to the lead.
  • Won — the lead has accepted and will become a customer.
  • Lost — the lead did not convert and the opportunity is closed.

Create a Custom Pipeline Stage

  1. On the Lead Statuses page, click Add Status.
  2. Enter the Status Name (for example, "Site Visit Scheduled" or "Follow-Up Needed").
  3. Set the Display Order to control where this stage appears in the pipeline sequence.
  4. Click Save to create the status.

Result: The new pipeline stage is available when editing leads and appears in the pipeline view.

Edit or Reorder Stages

  1. Click the Edit icon next to an existing status.
  2. Update the name or display order as needed.
  3. Click Save to apply changes.

Reordering stages changes how they appear in the pipeline visualization. Place stages in the order that matches your actual sales process from left to right: early stages first, closing stages last.

Track Lead Progression

As your team works leads, they update each lead's status to reflect its current stage. On the Leads list, you can see each lead's current pipeline position. This provides a quick overview of your entire sales funnel.

  1. Open a lead from the Leads list.
  2. Change the Status dropdown to the appropriate pipeline stage.
  3. Click Save to update the lead's position in the pipeline.

Lead Velocity Metrics

By tracking how leads move through your pipeline stages over time, you can measure lead velocity -- how quickly leads progress from New to Won. Leads that stall at a particular stage may need additional attention or a different approach. Use the lead activity history to identify bottlenecks in your sales process.

Tip: Keep your pipeline stages simple and clearly defined. Too many stages can make tracking cumbersome. Most field service businesses find that five to seven stages cover their entire sales process.
