FieldPromax sends automatic SMS (text message) notifications at key dispatch events to keep customers informed and service providers on track. Configure which events trigger messages and customize the templates to match your brand voice.
Before you start:
- Configure Text Message Settings in your company setup to enable SMS and set up your messaging preferences.
- Ensure customer records include valid phone numbers.
How to Access
Navigate to Company Setup → Text Message Settings to configure SMS notification rules and templates.
Dispatch Events That Trigger SMS
FieldPromax can send text messages at the following dispatch milestones:
- Assigned / Dispatched — sent when a work order is scheduled and dispatched. The customer receives confirmation that a service provider has been assigned, along with the scheduled date and time window.
- In Route — sent when the service provider taps In Route in the mobile app. The customer knows the provider is on the way.
- Checked In — sent when the service provider arrives and checks in at the job site.
- Work Complete — sent when the service provider marks the work as complete. This can include a summary of the work performed.
Customer Notifications
Customer-facing SMS messages keep your clients informed without any manual effort from your office team. Typical customer messages include:
- Appointment confirmation with the date, time, and provider name.
- In-route alert so the customer can prepare for the provider's arrival.
- Completion summary with a link to view or pay the invoice (if configured).
Service Provider Notifications
Service providers can receive SMS notifications when:
- A new job is assigned to them.
- A schedule is changed or rescheduled.
- A customer responds to a notification or requests a callback.
Configuring SMS Templates
- Navigate to Company Setup → Text Message Settings.
- For each event type (Dispatched, In Route, Completed, etc.), toggle the notification on or off.
- Edit the message template for each event. Templates support placeholders that are automatically replaced with real data when the message is sent, such as customer name, work order number, scheduled date, and service provider name.
- Click Save to apply the changes.
Result: From this point forward, FieldPromax sends the configured SMS messages whenever the corresponding dispatch event occurs.
Tip: Keep SMS messages concise. Mobile carriers may split messages longer than 160 characters into multiple texts, which can confuse recipients. Focus on the essential information: who, when, and what.
Viewing SMS History
Sent messages are logged in the system. You can review the SMS history from the work order detail page to confirm that notifications were delivered for a specific job.
