GPS, Camera & Signatures

Understand how the Field Promax Plus app uses your device's GPS for automatic location tracking, the camera for job site photos and barcode scanning, and the signature pad for customer approvals.

Before you start:

  • Grant the app Location, Camera, and Storage permissions when prompted during first-time setup.
  • For background GPS tracking, select Always Allow for location access in your device settings.

GPS Tracking

The Field Promax Plus app provides automatic GPS tracking when a service provider is clocked in. Here is how it works:

  • Clock-in/Clock-out Location — every clock event records the exact latitude and longitude of your device. Administrators can view these locations on a map to verify on-site presence.
  • Background Tracking — when you are clocked in and have granted background location permission, the app periodically records your GPS coordinates. This builds a route trail that administrators can review on the GPS Tracking page.
  • Work Order Location — when you update a work order status (Accept, In Route, In Process, Complete), your current location is recorded with the status change.

GPS data helps with route optimization, mileage verification, and ensuring service providers are at the correct job site.

Camera: Job Site Photos

Use the built-in camera to document your work:

  1. Open a work order detail and tap the Camera icon.
  2. Take a photo of the job site, equipment, or completed work.
  3. The photo is automatically uploaded and attached to the work order.
  4. Take multiple photos for before and after documentation.

Photos are stored with the work order and are visible to administrators on the web interface. They also appear on customer-facing invoices and reports if configured.

Barcode Scanner

The app uses the device camera as a barcode scanner for quick lookups:

  • Equipment Barcodes — scan a barcode label on a piece of equipment to instantly pull up its record. This is faster than searching manually and reduces errors.
  • Work Order Barcodes — scan a printed work order barcode to open the work order detail directly.
  1. On the relevant page (Equipment or Work Order), tap the Scan button.
  2. Point the camera at the barcode.
  3. The app reads the code and navigates to the matching record.

Signature Pad

The signature pad allows you to capture customer approval directly on your device:

  1. Navigate to the Invoice tab on a work order.
  2. Tap the Signature section.
  3. Hand the device to the customer.
  4. The customer signs with their finger on the touchscreen.
  5. Tap Save to record the signature.

Result: The signature is saved and appears on the work order invoice PDF. It serves as proof that the customer acknowledged the completed work and the invoice amount.

Tip: Capture the customer signature before leaving the job site. Once saved, the signature is permanently attached to the work order and cannot be disputed later.

Best Practices

  • Keep GPS enabled at all times while working to ensure continuous tracking data.
  • Take at least one "before" photo when arriving at a job and one "after" photo when the work is complete.
  • Use the barcode scanner whenever possible instead of manually searching for equipment — it is faster and eliminates typos.
  • Confirm the customer reviews the invoice total before signing the signature pad.
