The referrals tracking page gives you a complete view of all referrals coming through your program. You can see who referred whom, check the status of each referral, approve conversions, mark rewards as paid, and track your program's overall performance.
Before you start:
- You need an active referral campaign. See Setting Up Campaigns to create one.
How to Access
Navigate to Marketing → Referrals from the sidebar, or navigate to Referrals from the main menu.
Referrals List
The referrals page organizes referrals into two tabs:
- Open — active referrals that are pending review, approval, or reward payment. These are referrals where the referred customer has not yet been fully processed.
- Closed — referrals that have been completed, either paid out or dismissed. This includes both successful conversions and referrals that did not result in new business.
Referral Details
Each referral record contains key information:
- Referrer — the existing customer who made the referral.
- Referred Customer — the potential new customer who was referred.
- Campaign — which referral campaign this referral is associated with.
- Status — the current state of the referral (pending, approved, paid, etc.).
- Reward Status — whether the referral reward has been paid to the referrer.
- Date — when the referral was submitted.
Filter and Search Referrals
- Use the Campaign filter to view referrals from a specific campaign.
- Use the Reward Status filter to find referrals awaiting payment.
- Set Date Range filters to narrow results to a specific time period.
Approve and Pay Referrals
- Open a referral from the list to view its details.
- Verify that the referred customer meets the campaign's success criteria (for example, a completed paid work order).
- Click Mark as Paid to record that the referral reward has been fulfilled.
- Optionally enter the Job Value and any Notes about the payment.
- Confirm the payment.
Result: The referral is marked as paid and moves to the Closed tab. The referrer's reward is recorded in the system.
Referral Statistics
The referrals page displays aggregate statistics to help you evaluate your program's performance. Key metrics include total referrals received, conversion rate, total rewards paid, and referral trends over the past few months. Use these stats to determine whether your referral program is delivering a positive return on investment.
Tip: Follow up quickly on new referrals. The sooner you contact a referred customer, the higher the likelihood of conversion.
