Favorites & Exporting

Save your most-used reports as favorites for quick access, export report data to PDF or Excel, and share reports with your team.

Before you start:

  • You should be familiar with running reports and know which reports you use most often.

How to Access

Navigate to Reports from the main menu. Your favorite reports appear at the top of the page in the Favorites section, which you can expand or collapse.

Save a Report as a Favorite

  1. On the Reports page, browse the default or custom reports list.
  2. Click the Star icon next to any report name.
  3. The star fills in to indicate the report is now a favorite.

Result: The report appears in the Favorites section at the top of the Reports page. You can access it with a single click instead of scrolling through categories.

Remove a Favorite

  1. In the Favorites section or in the report list, click the filled Star icon next to the report you want to un-favorite.
  2. The star becomes hollow and the report is removed from your favorites.

Removing a favorite does not delete the report — it only removes it from your quick-access list.

Export Reports to Excel

  1. Run the report you want to export by selecting it and applying your desired filters.
  2. Once the report data is displayed, click the Export to Excel button in the toolbar.
  3. The report downloads as an Excel file (.xlsx) to your computer.

Result: You receive a spreadsheet with all the report data, including column headers, formatted values, and the applied filters. The file is ready for further analysis in Excel or Google Sheets.

Export Reports to PDF

  1. After generating a report, click the Export to PDF button.
  2. The system generates a formatted PDF document with the report header, filters applied, and all data rows.
  3. The PDF downloads to your computer or opens in a new browser tab.

PDF exports are ideal for sharing with customers, attaching to emails, or printing for physical records.

Print Reports

  1. Generate the report and apply your desired filters.
  2. Click the Print button or use your browser's print function (Ctrl+P on Windows, Cmd+P on Mac).
  3. Select your printer and configure print settings (orientation, margins, page size).
  4. Click Print to send the report to your printer.

Tip: For wide reports with many columns, use landscape orientation when printing or exporting to PDF. This prevents columns from being cut off on the right side.

Share Reports

To share a report with a colleague or customer:

  1. Export the report as a PDF or Excel file.
  2. Attach the file to an email and send it to the intended recipient.
  3. Alternatively, save the export to a shared drive or cloud storage location accessible by your team.

For recurring report sharing, consider setting up the report as a favorite and exporting it at regular intervals (for example, weekly or monthly payroll reports).

Custom Reports and Favorites

Custom reports that you or your team have created can also be favorited. Navigate to the Custom tab on the Reports page, find the custom report, and click the Star icon. Custom favorites appear alongside default favorites in the Favorites section.
