Before you can send marketing emails, you need a verified sender identity and at least one audience of customers to target. This guide covers the three-step sender verification process and how to create and manage audiences including AI-generated segments, lead-based audiences, and custom lists.
Before you start:
- You must have administrator access to configure sender verification and email marketing settings.
- Enable the Marketing module in Feature Flags if it is not already active.
How to Access
Navigate to Marketing → Email Marketing → Settings (gear icon). Sender Verification and Audiences are available as sub-sections within Settings.
Sender Verification (3 Steps)
Sender verification is a three-step process that activates email marketing, creates your SendGrid account access, and verifies your sender identity.
Step 1: Activate Email Marketing
- In the Settings area, locate the Activate Email Marketing section.
- Toggle the activation switch from gray (inactive) to green (active).
Result: FieldPromax creates a SendGrid subuser account for your company. Toggling the switch off deactivates email marketing and removes the SendGrid subuser.
Step 2: Create SendGrid Login
- Click the Create SendGrid Login button to invite a teammate to your SendGrid account.
- Review the Teammates table, which shows each teammate's email address, invited date, and accepted date (displayed as a green badge when accepted or a yellow badge when pending).
- Use the Remove action to revoke access for any teammate if needed.
Result: Teammates who accept the invitation can log in to SendGrid to manage advanced email delivery settings.
Step 3: Manage Sender Verification
- In the Manage Sender Verification section, review the Verified Senders table.
- Each entry shows the sender name (with nickname), from email address, reply-to email address, and a verification status badge.
- Complete the verification process through SendGrid to confirm your sender identity. Verified senders become available in the From dropdown when creating broadcasts and drip sequences.
Important: Emails sent without a verified sender identity will not be delivered. Complete all three verification steps before creating your first campaign.
Managing Audiences
The Audiences page displays all your customer segments with compact stats showing the total number of audiences and total customers across all segments. Audiences are organized into three collapsible sections.
AI Generated Segments (Purple)
AI-generated segments are automatically created by analyzing customer behavior patterns. Each segment card displays the segment name, an "AI" badge (purple), customer count, RFM score, and a description of the segment criteria.
- Click the Generate Segments button (purple) to run the AI segmentation analysis.
- Review the generated segment cards to understand how your customers have been grouped.
From Leads (Blue)
Lead-based audiences are automatically created from your lead forms. Each card shows the audience name, a "LEAD" badge (blue), total leads, and a description. These audiences update automatically as new leads come in through your forms.
Custom Lists (Orange)
- Click the Create List button (black) in the Custom Lists section.
- Enter an Audience Name (for example, "VIP Customers" or "Holiday Promo List").
- Enter a Description for the audience (required).
- Click Create Audience.
Result: The new custom audience appears with an orange "CUSTOM" badge showing customer count and total revenue. Use the red X button on a custom list card to delete it.
Manage Audience Members
- Click on any audience card to open its detail view.
- Review the header stats: Customers, Revenue, Avg Revenue per Customer, Avg Orders, Days Since Last Order, and RFM Score.
- Click Add Customers to add new members, or Remove Customers to take members out of the audience.
- Use the customer grid to search, sort, and paginate through the audience members.
Result: Your audience is updated and ready for use in broadcast campaigns and drip sequences.
Tip: Run AI segmentation first to automatically group your customers by purchasing behavior and engagement. You can then use these AI-generated segments as audiences for targeted campaigns without manual list building.
